Assess density before you talk about length
Density decides method and grams; length is a wish. Fine hair with low density will not carry heavy rows, and telling a client that at consultation is far cheaper than telling them at week six.
Check the hairline, the nape, previous chemical history, and any traction damage. Photograph everything in daylight, with permission, and keep it on file.
Match the shade physically
Use a physical swatch at the root in natural light. Screens lie, salon lighting lies, and a shade approved on a phone is a shade that will be disputed later.
If the client wears an existing brand's shade, note the code. A manufacturer can match to it so the transition is invisible.
Agree the maintenance cycle in writing
Move-up interval, home-care products, heat limits, swimming and gym routine, and what happens if an appointment is missed. Signed, dated, one page.
This single sheet resolves the majority of disputes because it converts an argument about memory into a reference to a document.
State clearly what is and is not covered
Cover manufacturing failure and your own workmanship. Exclude home bleaching, box colour, chlorine, sun damage and missed maintenance. Write it in plain language a client will actually read.
Also state the deposit and cancellation terms — extension appointments hold hours of chair time, and no-shows are a genuine business loss.
Set the annual cost expectation up front
Install plus move-ups plus refresh hair, over twelve months. A client who accepts that number at consultation is a client who stays. A client who discovers it later disappears and tells other people why.

Do I need a lawyer for the contract?
A one-page plain-language agreement covers most situations; have it reviewed locally if your state or your insurer requires specific wording.
Should the consultation be paid?
Yes, and credit it toward the install. It protects your time and filters serious bookings.
What if a client refuses to buy home-care products?
Note it on the agreement. It does not have to end the booking, but it should change what you warranty.
